§13 Seminar and Conferences should be confirmed to the arranger, see 2. The confirmation must contain accurate specification of the duration of the stay, extent of meals and additional servicing, the accumulated price per participant and the amount of deposit and renovation fee.
§16 Cancellation of entire seminars or conferences must be written at least 6 weeks before the event. At bigger events the company will be justified to require longer termination deadline under requisite of a seperate agreement.
§16, part 2. When cancelling of seminars or conferences after before-mentioned time limit, the hotel can demand reimbursement corresponding to 65% of the price of the ordered services. However there can be demanded full coverage for services which can not be cancelled.
§16, part 3. The number of participants can be reduced with up to 35% by written notification hereby, at least 3 weeks before the event. At reductions of more than 35% the hotel can choose to:
A: Consider the event as cancelled and claim reimbursement, see 2.
B: Go through with the event, with full payment for the number of guests that can not be cancelled (65%).
§16, part 4. At any reduction later than 3 weeks before the event, the hotel can choose to:
A: Consider the event as cancelled and claim reimbursement, see 2. (65%)
B: Demand full payment for any reduction.
