Excerpt from HOESTAs Standard Course & Conference Rules

§13 Courses and conferences should always be verified in writing with the organizer, see 2). The verification must contain specific details concerning the duration of the stay, the amount of meals and other servings, the full price per participant and the size of the deposit and reservation fee.

§16 Whole courses or conferences must be cancelled in 6 weeks before the course or conference is to be held. When dealing with larger arrangements, this enterprise preserve the right to demand a longer cancellation respite, but only if this respite has been agreed upon.

§16, part 2 Upon cancellation of whole courses or conferences after the mentioned respite, the hotel can demand a compensation corresponding to 65% of the price of the ordered services. Furthermore, the hotel can demand full compensation for services that can not be cancelled.

§16, part 3 The amount of participants can be reduced by 35%, as long as the hotel is noticed in at least 3 weeks before the starting date of the course or conference. If the amount of participants is reduced by more than 35%, the hotel and the restaurant can choose to either:

                A: Consider the course or conference cancelled and demand compensation in correspondence to §16, part 2.  

B: Carry out the course or arrangement and demand full price for the amount of participants that can not be cancelled (more than 65%).

§16, part. 4 Upon any reduction of the amount of participants later than 3 weeks before the course or conference starts, the hotel and the restaurant can choose to either:

A: Consider the course or conference cancelled and demand compensation in correspondence to §16, part 2. 

                             B: Demand full compensation for every reduction.
